Our Engineering teams have been busy last month! On top of releasing over 20 improvements, we have released new features both in our CRM and Talent Marketing products

CRM

  • Export Candidate Profile as PDF: export the candidate's profile as a PDF file for easy sharing with external colleagues
  • New compliance-related automation: two new actions in Recipes: 'Anonymize' and 'Delete'

Talent Marketing

  • Page Block Customization: tailor the layout of pages by moving, removing and cloning blocks
  • Contact Limits for Campaigns and Bulk Actions: limit the number of contacts that can be added to a campaign, or included as part of a bulk action
  • Access to Pages and Forms: Standard users can now create and edit pages, but only admins can publish

Export Candidate Profile as PDF

We have introduced a new functionality that allows users to create a PDF file from a candidate profile, download it onto their computer, and share it thereafter with external colleagues such as hiring managers.

The functionality is available through the standard action menu on the profile.

New compliance-related automation

We have introduced two new actions in Recipes: 'Anonymize' and 'Delete'. With these actions, Admins and Super Admins can easily automate the maintenance of a clean and compliant database. For example, in conjunction with the new scheduled trigger that checks the database at regular time intervals, enterprise customers can set up a recipe to routinely bulk delete disengaged contacts that they have not heard from for a predefined period of time. Alternatively, to ensure the disengaged contact isn't accidentally added back into the database after being removed (particularly if they have also opted out), customers can choose to automatically Anonymize the contact.

Page Block Customization

Enterprise customers can tailor the layout of pages by moving, removing and cloning blocks. The new options replace the 'Edit' button on the top right of each block.

Now you can:

  • Change the position of the block by selecting the up or down arrows
  • Have multiple versions of the same block by selecting the clone icon (signified by the two squares)
  • Delete additional blocks you don't need by selecting the cross icon, until you have one of each block left
  • Hide and un-hide blocks by selecting the eye icon (which is now grouped here with other block options instead of within the block editor, so it's easier to find. If you're not an Enterprise customer, the Edit button will be replaced by the hide/un-hide button.)

Contact Limits for Campaigns and Bulk Actions

With a great number of contacts in your database comes great responsibility. To prevent accidental messages or updates to contacts en masse, customers can request a limit on the number of contacts that can be added to a campaign, or included as part of a bulk action, at any one time. These limits can be set by your Customer Success Manager. 

If users exceed the number of contacts allowed, we will notify them in app (as shown below) and prevent them from sending the campaign or carrying out the bulk action, until they reduce the number of contacts selected.

Standard User Access to Page and Forms

Standard users are now able to create and edit pages and forms. This means Admins can focus on more strategic initiatives as they share the task of setting up pages and forms with other team members. Only Admins and Super Admins will continue to have the ability to publish, ensuring they have the opportunity to review and sign off on content before the page or form goes live. 

Greenhouse 2-way Anonymization

Ability to anonymize contacts in both Beamery and Greenhouse automatically. 

When contacts are anonymized in Beamery, the same contacts are anonymized in Greenhouse. When contacts are anonymized in Greenhouse, contacts are anonymized in Beamery. 

Requirements: 

  • Permission to anonymize contacts in Greenhouse
  • Set up Greenhouse Webhook for 'Candidates anonymized' 

 Additional Notes: Beamery blocks anonymized contacts from being re-added, while Greenhouse does not, allowing candidates to re-apply.

Jobvite Improvements

New Feature: Release Notes - Manual Anonymization, increased flexibility in filters, updates to the campaign report

As previously announced, this week we are releasing the final features as part of Beamery 4.0, including:

  • Manual Anonymization
  • Additional flexibility in Filters
  • Bulk actions in Advanced Search
  • Location Filter in Advanced Search
  • Updates to the Campaign Messaging Leaderboard

Manual Anonymization

GDPR has now come into effect. Following the Consent Management feature release earlier this month comes our Manual Anonymization feature, enabling customers to anonymize contacts who have expressed their right to be forgotten. Anonymization works like deletion, except we'll hide rather than delete the contact's name, email and social URLs so that we can identify, flag and block a previously anonymized contact from being accidentally added back into the database.

      Anonymizing contacts:

      Super Admins, Admins and Team Members can anonymize contacts from their full profile via a two-step process to reduce the risk of accidental anonymization. Anonymization is only possible for Archived contacts and the user must archive the contact before taking this step. They will receive a warning to confirm if that step has been taken when they attempt to anonymize a contact. 


      Un-anonymizing contacts:

      Super Admins can manually un-anonymize contacts from a candidate's profile by selecting the three-dot dropdown menu at the top right. This should only happen if a candidate has opted back in to receiving communications from you. If a user (who isn't a Super Admin) needs to un-anonymize a contact (having received the contact’s request), they can ask the candidate to sign up via a form, or they can share the contact’s full profile URL with a Super Admin.

      Once an anonymized contact has been un-anonymized (or they opt back in via a form), the contact will re-appear as a standard profile with their name, email and social URLs. You will also see an activity card in their full profile indicating when the contact had been previously anonymized for full context.

      Preventing anonymized contacts from being added back into Beamery:

      If someone on your team tries to manually add an anonymized contact into Beamery, they will be redirected to the anonymized full profile and subsequently prevented from being able to re-create an anonymized contact.

      Filters

      ‘Contains’ filters - to enable better identification when filtering ‘Location’ and ‘Keywords’. This means you can filter candidates based on a partial text search. For example, you can enter part of a location or part of a keyword to search for candidates in your CRM. Search results appear immediately as soon as you start typing.

      Beamery 4.0 allows you to refine your search per location. As with filters, this is based on partial text search.

      Bulk Actions in Advanced Search

      Beamery 4.0 enables a ‘bulk action’ to be applied to a group of candidates in Advanced Search. This allows users to assign all candidates that appear in an Advanced Search result to a pool or vacancy, or to apply a tag in one single action.

      Beamery Advanced Search already supports a variety of post-search actions such as adding a candidate to a vacancy, a pool, a campaign, or more. However prior to this update, this was only possible for one candidate at a time. Expanding this to enable bulk actions has been one of our most frequently requested features and we hope this can make a significant impact to the workflows of all Sourcers starting a new search.

      Messaging Leaderboard Update

      The Messaging Leaderboard in the Campaigns Report showed open rates and reply rates, along with the change in this rate during a specified time period. Customers wanted to see the actual figures for opens and replies along with the open and reply rates, instead of only seeing the rate of change within the specified time period. They also wanted to see the click rate alongside the number of clicks.

      Our update to the Messaging Leaderboard will now show this. We've also included a new column called 'Messages Delivered'. While 'Messages Sent' displays the total number of emails sent out, Messages Delivered displays only those emails that were received by the candidate (i.e this excludes emails that bounced or were undelivered, for example due to an invalid email address). Open, click and reply rates are calculated based on the number of messages delivered (which you can see in the example below).

      New Feature: Improved Navigation and Filters

      With a great new navigation comes great responsibility: keeping it great and even making it better!

      With this release:

      1. we continue to improve your user experience and the navigation, by putting the information you need where you need it, and making it easier to access functionalities.

      2. We are also further improving the experience by making it easier to find contacts in the people list through improved filter functionality

      3. Finally, we make it easier for you to see information that is relevant to you by landing on contacts that have been assigned to you, instead of seeing a long list of all contacts.

      Improved Navigation

      First, when accessing the "People" module, you now land on your contacts, i.e. contacts that are assigned to you, rather than landing on the list of all candidates.

      Then, for each module of the Beamery solution, we have:

      • added a counter that displays the number of elements you have in the list
      • added a direct link to the main report for that module

      Improved Filters: Partial Match on Companies and Job titles


      You can now filter companies and titles based on a partial match ("contains"). For instance, filtering on "beam" would return all companies that contain the string "beam" in their name.

      We will soon be releasing to beta customers a new Sourcing dashboard - the Team Leaderboard. It provides visibility on your sourcing team's performance across vacancies assigned to them, including stage-to-stage conversions, candidates added to each stage, and trends over time. View metrics at both team and team-member level, to drive better decision-making around resources, remove roadblocks, highlight top sourcers and help forecast for the future.

      New Feature: Release Notes - Our biggest update coming on Tuesday 13th

      A few weeks ago, we announced our upcoming Beamery 3.0 new navigation. We're pleased to say it'll be live on Tuesday 13th March.

      Good things always come in pairs, so we have also released custom footers for pages and forms (and another usability enhancement on the extension!)

      New Navigation

      The time has come to introduce a new, more intuitive navigation as the flagship element to our upcoming Beamery 3.0 release. You’ll enjoy a faster user experience and notice that there’s now more space for us to grow.

      How does the new navigation work?

      The all new navigation is broken down into four primary components:

      1. The Main Navigation bar is where you’ll see some familiar features grouped into products’, these being the CRM, Talent Marketing and Reporting. The navigation bar will always appear no matter where you are in the app
      2. The Features bar contains the primary functions within each Beamery product group; in the CRM for example, you’ll see tabs for Vacancies, Pools and the People database
      3. The Sub-Navigation bar sits directly below and includes all filters and actions associated with each function in the above Features bar’
      4. The main content section which contains all of your important pipeline, marketing and reporting data

      Where does everything live?

      The new Beamery 3.0 navigation starts at your home dashboard. It shows your tasks, candidates, vacancies and pools as you can see in the current navigation.

      The new CRM view contains Vacancies, Pools and the re-named People’ database (currently called All Contacts’ in Beamery), and is where you’ll find all candidates and leads. Marketing brings together Campaigns, Pages & Forms and the Beamery Widget into one place, whereas currently in Beamery, these features exist in the main navigation and within your Settings. Reporting remains as a separate item but moves to the new navigation bar and contains all of the same reports you currently use.

      Candidate Quick Search’ is always accessible no matter where you are in Beamery, as is the Advanced’ search experience, both of which you can find at the top right in the new navigation.

      The Notifications’ and Explore Beamery’ modules along with your account Settings remain in the main navigation, but you’ll now find these in the bottom left of the screen (currently at the top right of Beamery). For all of these features, once you’ve clicked, you’ll find everything in exactly the same place as before.

      The new navigation has been updated on our mobile app as well, so you can continue to manage Beamery on the go. The mobile navigation specifically supports the People database, quick search, mini-profiles and Tasks, but you will still have access to at least part of the functionalities of the remaining features.

      So what's new?

      The new navigation brings you a faster and more intuitive experience as we continue to grow Beamery (and of course, it looks a lot better!). The new layout means we can add new products and solutions into the main navigation bar, and new features that complement existing ones; you’ll see this with the upcoming launch of Beamery 3.0.

      Custom Footers

      Customers can display up to five URLs, such as links to their privacy policy, terms and conditions, information about other roles, and contact details.

      The site notice can be used to present additional information to share with candidates, such as legal statements and disclaimers. You can include further links and format the text to match the page or form.

      The social media icons that customers can choose from are: Facebook, LinkedIn, Twitter, Instagram, YouTube, Glassdoor and WeChat.

      Extension 5.0

      Managing Vacancies, Pools and Campaigns in the Extension are some of the most used features within the Extension. However, it requires a lot of clicks before you get to them: you have to move between tabs to reach them.

      We realised that 1) this adds extra time and 1) you cannot even review all three of them together.

      With our latest release you can now manage Vacancies, Pools and Campaigns together in the same and first tab: Summary.
      Same functionality, just easier to use.

      In addition, we have optimised the Fields Tab. If you have many custom fields, you can now search for a custom field to enter information as well as find Global Tags next to Keywords.

      Having moved the most used features to the Summary tab, you will now see the Closest Connections and Latest message in the Related tab.

      Update: Release Notes - February 8th 2018

      Hello there,

      Heads-up: Our team has been working very hard for the past few months on a new navigation for the Beamery app. This is coming at the end of the month, and we will be discussing this in further details as we are getting closer from the release date.

      In the meantime, with this release, we have been focusing on improving our Talent Marketing product:

      • Expanding on the recently released ability to see active campaigns in the candidate profile, you can now see past campaigns as well. This gives you the complete picture of all communications, past and present, with this candidate.
      • Branding is an important aspect of the Pages module. With this release you now have more controls over the look & feel of your pages.
      • Custom Footers creates a more consistent candidate experience across Beamery Pages and your own sites. You can now display links and site notices that exist on your webpages across pages and forms, and direct candidates to your social media sites via social icons.

      Past Campaigns in Profile

      Under the list of active campaigns, you can now see all past campaigns a contact has been a part of.

      Similar to active campaigns, you can click on the campaign name to see details within the Edit Campaigns page, and click on the touch to view touchpoint analytics.

      We have also updated the touchpoint states, such as 'Sent', to include more detail. You can now see if the touch was opened, clicked on, replied to, and whether it bounced, was deferred or undelivered.

      Pages Improvements

      There are three enhancements as part of this release:

      1. You can now change the header color for all blocks to match the color of the body copy.

      2. In addition to the existing options to format the body copy in blocks, you can now:

      • Change text size
      • Create a numbered list
      • Erase the formatting to revert to the default format

      3. The text color of the hero block is no longer limited to white. You can choose the text color for the header and subheader that works best with your chosen background image.


      Custom Footers

      Update: Release Notes - January 12th, 2018

      With this first release of 2018, we are happy to introduce two new features.

      The first one helps Beamery customers to better manage their data, the Recruiter experience, and, crucially, compliance requirements. This feature is available for customers on the Enterprise Plan.

      The second feature, requested by many customers, will make life easier for our recruiters, talent marketers, and sourcers by providing visibility of all active campaigns for a candidate for the first time. This feature is available to all customers of the Talent Marketing module.

      Private Fields

      Beamery’s Private Fields enables customers to use custom fields in a compliant, secure and scalable way.

      In addition to the functionality of custom fields, Private fields allows customers to:

      1. Collect sensitive information from candidates in order to adhere to compliance regulations
      2. Protect this information from being exposed to users who should not have permission
      3. Reduce clutter by hiding custom fields that are not relevant to certain users


      Beamery Admins can manage access to each custom fields based on their permission level.

      Active Campaigns in Profile

      Customers using Campaigns can already add candidates to campaigns from the Full profile, Mini profile and the web extension. Previously, to check which active campaign(s) a candidate is in, they would need to check each campaign individually.

      With the Active Campaigns in Profile feature, users can now view a list of active campaigns the candidate is in, remove them from the campaign and click through to edit the campaign, directly from the candidate's profile.

      Campaign Dashboard

      We have made some significant changes to the Campaign Dashboard:

      - the look and feel of the dashboard have been updated to present a cleaner and more modern UI
      - The filters have been modified to exclude the direct messages; as those do not directly to campaign activities, and are misleading in terms of campaign performances
      - The user filter has also been modified to include the ability to filter by team
      - A new component has been added to the dashboard: messaging leaderboard
      - Users can now download a CSV file of the messaging leaderboard, on top of a png of the diagram
      - The diagram representing email events over time moved from being shown as a line diagram to a bar diagram.

      - This has been done to make the information clearer as the line diagram could lead to some confusion



      Messaging Leaderboard

      Team leads (admins/team members) need to see how effectively their team is communicating and who is most effective.

      To do this, companies who have access to campaign feature need to be able to see (and export to CSV) based on given parameters (timeframe, team/user, campaign touch) how active and effective their team has been at sending campaigns, and whether this effectiveness is rising compared to previous period,

      Quick Search

      You can now find your contacts faster, as the Search will start as soon as you enter a few letters. Our search engine will immediately kick-off looking for partial matches on contact names, giving you the results you're looking for faster and more accurately.

      We're announcing 2 significant improvements with our latest release:

      1. Our new extension gives recruiters all the functionality and flexibility of the mini profile right into your browser.
      2. You can now create and manage all your custom forms with our easy-to-use form builder

      New Chrome Extension

      We are excited to announce that in this release our Chrome Extension is as powerful as the mini profile! This will give recruiters the essential tools without moving to the main app.

      Our new Chrome Extension provides recruiters with more capabilities than ever before.

      With more information readily available, and access to every aspect of the mini profile while sourcing, there's less need to break your workflow and log into the main application.

      The new extension is now available to all customers, after being tested with a few of our customers.

      The update will be done automatically. Depending on your security settings, you might be prompted by Chrome to update your old extension.

      Following are some of the additional features added. A complete description will be available in help documents once the extension is released

      Search for existing Contact

      Search your database from the chrome extension to see whether you already have a relationship with a candidate. If they do, you'll be able to see all their information without leaving the extension.

      Contact Summary

      You can now view work history as well as manage vacancy stages in the extension, just like in the mini profile.

      Contact - Related

      Add quick notes and tasks, and see a summary of the most recent ones from your team.

      Contact - Files

      No longer do you have to click on the full profile to see existing files like resumes. You can view full list of files that are attached to a candidate profile without leaving the extension.

      Resume Parsing

      Resumes are now parsed directly and immediately from within the extension. You can 'refresh' data from enrichment and resumes directly into the extension.

      Form Builder

      Form Builder allows companies to create and manage their own forms. Forms let candidates register interest, join your talent network and receive relevant updates without having to apply.

      You can manage your forms in the “Settings” component of Beamery app.

      A new menu item is now available in the menu on the left-hand side. Existing forms are shown on the right-hand side of the screen

      All details of the form can be managed directly within the form builder:

      • the Form name and URL
      • the title and description of the form
      • add, delete and organise the questions to be asked to candidates
      • questions can be linked to custom fields that appear directly on the contact profile and in the contact lists, and can be filtered on and searched on.

      Update: Release Notes - November 1st, 2017

      With this release, we have made 2 changes requested by many users, that greatly improve the usability of Beamery:

      1. We have added a new view of the contacts in a pool, broken down based on the status of the candidates.

      2. We are now saving the changes each user makes to the columns that are visible in the All Contacts section of the app.

      Pool Navigation

      You can now see the status of candidates for the talent pool in a similar manner to vacancies.

      When opening the contact view of a pool, you will now have a bar displaying at the top showing how many candidates you have in the pool, for each candidate status. By selecting one of the statuses, the contact list will be filtered to display only the candidates with this particular status.

      This gives recruiters and sourcers a better understanding of the strength of their talent pools and helps them identify what activities to prioritize.

      Re-ordering columns in the "All Contacts" view

      The contact fields that are important to an organisation will vary for each organisation, which is why Beamery offers the ability to create custom fields. We also allow users to re-order columns in the "All Contacts" grid to match their requirements.

      However, having taken feedback onboard, we recognised that this reordering was cumbersome when there are lots of fields in a grid, and changes were not saved between sessions.

      Following our update, users can continue to edit their views. Moving forward though, these changes are saved and re-applied the next time the user logs in.

      Super Admin

      As Beamery functionality expands, customers are expanding their use of the Beamery solution, and the size of Beamery customers grow, it becomes more important to spread the administrative responsibilities of managing a Beamery account across several individuals with different security levels.The Super Admin role replaces the current Admin role with access to all Beamery functionality for that account.

      Admin role permissions will be modified in the following manner:

      • No right to manage private fields
      • No right to manage global tags
      • No right to manage vacancy groups

      Admins will still be able to manage users, teams, recipes, templates, and pages and forms.

      Re-Enrich

      Beamery is anchored around 3 core pillars: data, journeys, and analytics. For Data to be useful and remain a pillar it needs to remain accurate and up-to-date. One of the challenges that customers are facing, especially with Executive Search, is that the information they have about candidates get rapidly outdated as individuals evolve in their career and in their life. Beamery enrichment functionality is great at building a candidate’s full profile when initially created, but is not used for updating this information 

      The goal of this new feature is to enable users to trigger re-enrichment (for now via a manual button, in future will be automatic) 

       Re-enrichment will also be triggered automatically when switching a contact from “do not enrich” to “enrich” 

      Email Digest

      Beamery 4.0 delivers a completely redesigned email digest. Rebuilt around the needs of sourcers and marketers, it provides a daily, or weekly, overview of everything noteworthy that happened during the previous time period.

      The daily digest email is an existing feature that all users can already receive; however, the current digest only shows notifications based on @mentions and tasks. The new digest expands upon this to provide key activities and notifications across all areas of the product, with actionable insights that link directly back to the right area of the Beamery app. Among other pieces of information, the new digest will include:

      • Tasks: overdue, upcoming, and all unread mentions
      • User’s contacts: updates on new contacts added to the pools and vacancies that the user is managing (either as a creator/owner or as an assigned manager
      • Messages in campaigns: emails delivered, opened, clicked
